Accountant resume: what to include and a sample

Whoever hires an accountant wants someone who closes the books on time, reconciles without surprises and produces statements that hold up under audit. The resume has to prove that with facts a controller can verify in seconds: the size of the entity, the days to close, the number of accounts reconciled, the systems used and whether the CPA is done, in progress or not on the table.

The common failure is a resume full of responsibilities ("prepared journal entries", "assisted with month-end close") that never says how large, how fast or how accurate. This guide covers what matters in the read, which terms the postings filter on, how to write bullets with real figures, what changes between staff and senior, and what a complete resume looks like within the administration field.

What matters on an accountant resume

Experience is read against a mental checklist: general ledger ownership, month-end and year-end close, reconciliations, accruals, fixed assets, financial statement preparation, tax filings (sales tax, 1099s), audit support. Each of those should appear with a scale: entity revenue, number of entities, number of GL accounts, days to close. "Own the month-end close for a $40M distributor, 5 business days" tells the controller more than a paragraph.

Credentials come next. CPA (or "CPA candidate, 2 of 4 sections passed") belongs in the header and in the summary; a CMA or an Enrolled Agent credential is worth a line for the right posting. Education is a Bachelor's in Accounting or Finance, and the 150 credit hour status matters when the CPA is in progress.

Software is a filter in most postings. QuickBooks, NetSuite, SAP, Oracle, Sage Intacct, Microsoft Dynamics, BlackLine or FloQast for close management, Bill.com for payables, and Excel at a specific level (pivot tables, XLOOKUP, Power Query) should be listed by name, ideally next to the job where each one was used.

Junior vs. senior

A staff accountant (0 to 3 years) is hired for reliability and learning speed. The resume should show the close tasks owned, the reconciliations handled, any public accounting internship, the software learned and the CPA progress. Coursework and GPA (if 3.5 or higher) can stay for the first two years. A recent graduate can use the recent graduate resume structure with education above experience.

A senior accountant (4 or more years) should show ownership of the close, review of other people's work, technical topics handled (revenue recognition, leases, consolidations, foreign currency), process improvements measured in days or dollars, and direct contact with auditors. The CPA is usually expected at this level. Two pages are acceptable past 8 years, with the most recent role taking most of the space.

If the CPA is in progress, say exactly where it stands ("3 of 4 sections passed, REG scheduled for November"). Vague wording ("pursuing CPA") reads as not started.

Common mistakes in this role

Accountant resumes fail on the same points in most reviews:

  1. No entity size. Closing the books for a $2M nonprofit and for a $400M manufacturer are different jobs; the revenue or the number of entities should appear.
  2. Duties without days or dollars. "Month-end close" is a task; "close in 5 business days" is a result.
  3. Hiding the CPA status. Both a completed CPA and a clear candidate status belong in the header; omitting it makes the reader assume the worst.
  4. Listing software nobody asked for. Fifteen tools in the skills list dilute the ones that matter; keep the ERP, the close tool and Excel.
  5. A template with graphics. Accounting is a conservative field; a clean one-column resume template with a classic typeface reads as more credible than a colored sidebar.

Yes, once the license is active: "Daniel Okafor, CPA" in the header and again in the summary. If the exam is in progress, put the exact status in the summary and the education section, not in the header.

How many pages should an accountant resume have?

One page up to about 8 years of experience. Past that, a second page is acceptable if it adds distinct achievements (technical topics, process improvements, audits managed) rather than older duty lists.

An accountant owns the books: entries, reconciliations, statements, filings. An accounting analyst works on the data around them: variance analysis, account analysis, reporting and process improvement. The bullets should reflect that difference, and the same person can present either side depending on the target job.
