Whoever hires an administrative assistant is looking for someone who keeps an office running without being asked: calendars that do not collide, travel booked on time, expense reports submitted before the deadline, vendors paid, visitors greeted. The resume has to show that reliability with facts: how many people were supported, what volume of work moved through the desk, and which systems were used to move it.
The typical resume for this role lists duties ("managed calendars", "answered phones") and leaves out the scale, so every candidate looks identical. This guide covers what a hiring manager reads first, the terms that job postings filter on, how to turn duties into bullets with numbers, and what a complete resume looks like within the administration field.

What matters on an administrative assistant resume
Experience carries the most weight, and within it, three details: who was supported (a department of 20, three directors, a regional office), the volume handled (calendar entries, travel bookings, invoices, expense reports per month) and the systems used. A hiring manager reading "supported the VP of Operations and a team of 18 across two sites" already knows the level of the job.
The skills section matters more than in most roles because the software is the job: Outlook and Teams, Excel for tracking, Concur or Expensify for expenses, DocuSign, SharePoint, a travel platform. Listing "Microsoft Office" says almost nothing; listing "Excel (pivot tables, tracking sheets), Outlook (calendar delegation for 4 executives)" says a lot.
Education is brief: a high school diploma or an Associate degree is the usual requirement, and a Bachelor's is a plus in corporate settings. Certifications such as the CAP (Certified Administrative Professional, from IAAP) or a Microsoft Office Specialist credential go on their own line and help when the posting asks for them.
Keywords job postings look for
These terms repeat across administrative assistant postings on Indeed and LinkedIn in the US:
- Calendar management and scheduling
- Travel coordination (domestic and international)
- Expense reports (Concur, Expensify)
- Microsoft 365 (Outlook, Teams, Excel, PowerPoint, SharePoint)
- Google Workspace
- Meeting logistics and minutes
- Office supply and vendor management
- Front desk and visitor management
- Data entry and records management
- DocuSign and document preparation
- Purchase orders and invoice processing
- Onboarding support for new hires
- Multi-line phone systems
- Confidentiality
Place them inside the experience bullets, where the context makes them credible, and repeat the most relevant ones in the skills section. Before sending the resume to a specific posting, the tool to tailor the resume to the job description shows which terms from the ad are missing.
Experience bullets that work
The difference between a duty and an achievement shows in the first line. These pairs show the change:
| Avoid | Better |
|---|---|
| Managed calendars for executives | Managed the calendars of 4 directors (around 120 meetings a week) with no double bookings over 2 years |
| Booked travel for the team | Coordinated 30+ domestic and international trips per quarter through Concur, keeping travel spend 12% under budget |
| Processed expense reports | Processed 90 expense reports a month in Expensify with a 48-hour turnaround and a 0.5% return rate |
| Ordered office supplies | Renegotiated the office supply contract and consolidated 6 vendors into 2, cutting supply costs by 18% ($14,000 a year) |
| Helped with onboarding | Coordinated onboarding logistics (equipment, badges, accounts) for 45 new hires in 2024, all ready on day one |
| Answered phones and greeted visitors | Handled a 6-line phone system and 40+ daily visitors for a 60-person office, routing every inquiry within 2 minutes |
Junior vs. senior
A junior administrative assistant (0 to 2 years) often comes from retail, hospitality, reception or an internship. The resume should show transferable evidence: customer volume handled, scheduling done in a previous job, any Excel or data-entry work, typing speed if it is above 55 WPM. A short summary that names the software already mastered replaces the years that are not there yet. The guide to a resume with no experience covers how to fill the page honestly.
With 5 or more years, the resume should show scope and autonomy: the number of executives or the size of the team supported, budgets managed (supplies, events, travel), processes created (an onboarding checklist, a vendor tracker, a shared calendar system) and any supervision of receptionists or clerks. At that stage the title on the resume may read "Senior Administrative Assistant" or "Office Coordinator", and the bullets should describe what was improved, not only what was maintained.
A senior administrative assistant resume with no numbers reads like a junior one. Count the people supported, the bookings made and the dollars saved; even estimates are better than blanks.
Common mistakes in this role
The resumes for this role fail in predictable ways. The most frequent:
- Listing duties without scale. "Managed calendars" applies to every candidate; "managed calendars for 4 directors" does not.
- A generic summary. "Detail-oriented team player with excellent communication skills" appears in thousands of resumes. Replace it with years, industry and systems.
- "Proficient in Microsoft Office." Name the applications and what was done with them.
- Including personal data. Date of birth, marital status, a photo or a home address do not belong on a US resume and can get it set aside.
- A two-column layout with the skills in a sidebar. Applicant tracking systems often misread it; a one-column resume template is the safer choice.
- Going past one page. For most administrative assistants a single page is enough; a second page is justified only after 10 or more years.

Frequently asked questions
How long should an administrative assistant resume be?
One page. Most postings for this role receive dozens of applications and the reviewer spends seconds on each; a single page with quantified bullets is read more completely than two pages of duties. A second page makes sense only after 10 years with several employers.
Does an administrative assistant resume need a summary?
Yes, three lines at most: years of experience, industries, the executives or team size supported and the main systems. It replaces the objective statement and helps the reader place the candidate before reaching the experience section.
Which skills should be listed for an administrative assistant?
Specific software (Outlook, Excel, Concur, DocuSign, SharePoint), typing speed if above 55 WPM, languages, and any certification such as CAP or Microsoft Office Specialist. Soft skills like "organized" or "communicative" belong in the bullets as demonstrated facts, not in a list.
Can an administrative assistant resume work without an Associate degree?
Yes. Many postings require a high school diploma plus experience. In that case, the resume should lead with experience and skills, and mention relevant coursework or a certification to fill the education section.
